National Program Exhibit Timeline:
6 months-1 year before event:
- Contact NCI Exhibit Program Manager to request to help staff the National booth at a planned, upcoming conference.
- Plan which programs and materials you'd like to promote at the exhibit.
- Reserve hotel room.
4-6 months before event:
- Submit request to NCI Exhibit Program Manager to participate in a "Meet the Experts" session during the exhibit.
- Speak with NCI Exhibit Program Manager about combined conference advertising opportunities and/or joint purchase of conference mailing lists.
2-3 months before event:
- Begin advertising design process for joint advertisements in conference publications and/or joint promotional items for mailings.
- Book air travel.
- Contact NCI Exhibit Program Manager for guidance on ordering publications from NCI's material distribution center-ordered items should be
combined with the main NCI exhibit materials and will be shipped to the exhibit venue from the NCI exhibit warehouse location. For publication ordering information, visit: http://oc.nci.nih.gov/planning/cisnci.html.
1 month before event:
- Finalize travel arrangements.
- Cut-off for the "Meet the Experts" NCI staff schedule selection.
- Arrange with NCI Exhibit Program Manager to have publications and display materials shipped to NCI exhibit warehouse in order to be shipped to conference site with National exhibit.
- Provide NCI Exhibit Program Manager with your size for NCI uniform/shirt (shirts are not necessary for "Meet the Experts" staff).
2-3 weeks before event:
- Pick up NCI uniform/shirts from NCI Exhibit Program Manager.
- Mail joint promotional items (e.g., postcards, flyers, etc.) to conference attendees (if applicable).
1-2 weeks before event:
- Receive booth staffing schedule from NCI Exhibit Program Manager.
1-3 days before event:
- Pick up exhibitor's badge at Exhibitor Registration desk.
- Display your literature and materials in the booth (if applicable).
End of conference:
- Re-pack and prepare your materials for return shipment (only applicable to those whose displayed literature supplies were not exhausted).
