Booth Planning and Staffing Tips

  • Pre-Show planning
    • Determine your objectives- what are your goals for attending this show and how do you plan to achieve them?
    • How much floor space do you need to accomplish your objectives and successfully present your message or demonstration?
    • What materials will you need to support your presentation?
    • What materials will you need to support your presentation?
    • What special services do you have to order from the show contractor? Many shows have a Show Kit, which contains all show information including order forms for:
      • Electrical
      • Drayage (Charges for moving crates and boxes into the show)
      • Booth Cleaning
      • Furniture (many times the standard booth comes with table and chairs)
      • Carpet
      • Telephone lines
      • Internet connection (if required)
  • Floor Plans
    • The basic booth space is 10' wide by 10' or 8' deep. Mos t show regulations limit the height of exhibits to 8' tall. The pop-up exhibits in the NCI inventory are specifically made to conform to standard booth regulations. The tabletop versions fit on top of standard tables (24" x 6'- 0"or 30" x 6' or 8' dimensions) and the 10' wide pop-ups fit within the standard basic booth space.
    • Typical exhibit floor plans are shown in the sample booth layouts page. These are suggestions and you can make variations based on your specific needs.
  • Staffing Tips
    • Staffing a booth is fun and rewarding. It can be a very positive experience for you and your audience provided you plan ahead and are prepared for the rigors of the show floor. Remember, it can be physically demanding and you should plan on at least two people staffing at a time and preferably at a maximum of four-hour shifts.
    • Dress appropriately and wear comfortable shoes.
    • Chairs are available, but you make the best impression when you stand and reach out to your audience.
    • Be alert and attentive to the visitors. They are the main focus and you should refrain from lengthy conversations with fellow staffers.
    • Try not to eat, drink or chew gum in the booth, plan lunch and break schedules so staff can get nourishment away from the booth.
    • Keep your literature and give-aways well stocked and be sure to get rid of trash and boxes
    • If you run out of materials or visitors request literature not on hand, inform them about ordering materials on-line or have a sign-up sheet available at the booth.
    • Record notes about your exhibiting experience. Indicate the things that worked well and the areas that need improvement. Review them when you plan for the next show
